Administrative Assistant- Piscataway, NJ

JOB DESCRIPTION

OVERVIEW

The Administrative Assistant is responsible for office responsibilities as well as assisting employees in other locations. Administrative Assistant will serve as backup for Receptionist / Office Manager for the Piscataway location.

 

RESPONSIBILITIES

  • Greets visitors and Kiosk check-in.
  • Responsible for answering phone calls, Voicemail, Faxes, Set up Outlook meetings.
  • Process In / outgoing mail, logging daily packages, Create FedEx packages, Process Daily invoices, and checks.
  • Responsible for appearance and cleaning of Office areas, Factory hallway and Supply Cage.
  • Back up for coffee counter organization, sanitize and restocking.
  • Knowledge of all showroom products and ability to present within the first 30 days.
  • Errands (Walmart / Dollar Store / Bank / Post Office).
  • Event Planning – Set up meeting rooms for training, meetings and tours.
  • Assist with Refurb Program
  • Manage arrangements, invoice approval and documentation for Bagel Day.
  • Set up new hire stations / packets – Stock FedEx areas and office stationery cabinet.
  • Process new Temp employees and create ID badges.
  • Maintaining office plants and trees.
  • Locker Maintenance and Tracking for two locations.
  • Special Projects – Café sign holders and Desk name plates.
  • Maintain Certificate of Insurance logbook / spreadsheet.


QUALIFICATIONS:

  • High school diploma or equivalent
  • Excellent written and verbal communication skills (Spanish / English)
  • Candidate will have 1-2 years of administrative experience.
  • Knowledge and/or experience in office furniture or related industry, a plus.
  • Lifting to 40lbs.
  • Driver’s License.

COMPUTER SKILLS:

  • Required knowledge of MS OFFICE – Excel / Word / PowerPoint / Outlook.
