Administrative Assistant- Piscataway, NJ
JOB DESCRIPTION
OVERVIEW
The Administrative Assistant is responsible for office responsibilities as well as assisting employees in other locations. Administrative Assistant will serve as backup for Receptionist / Office Manager for the Piscataway location.
RESPONSIBILITIES
- Greets visitors and Kiosk check-in.
- Responsible for answering phone calls, Voicemail, Faxes, Set up Outlook meetings.
- Process In / outgoing mail, logging daily packages, Create FedEx packages, Process Daily invoices, and checks.
- Responsible for appearance and cleaning of Office areas, Factory hallway and Supply Cage.
- Back up for coffee counter organization, sanitize and restocking.
- Knowledge of all showroom products and ability to present within the first 30 days.
- Errands (Walmart / Dollar Store / Bank / Post Office).
- Event Planning – Set up meeting rooms for training, meetings and tours.
- Assist with Refurb Program
- Manage arrangements, invoice approval and documentation for Bagel Day.
- Set up new hire stations / packets – Stock FedEx areas and office stationery cabinet.
- Process new Temp employees and create ID badges.
- Maintaining office plants and trees.
- Locker Maintenance and Tracking for two locations.
- Special Projects – Café sign holders and Desk name plates.
- Maintain Certificate of Insurance logbook / spreadsheet.
QUALIFICATIONS:
- High school diploma or equivalent
- Excellent written and verbal communication skills (Spanish / English)
- Candidate will have 1-2 years of administrative experience.
- Knowledge and/or experience in office furniture or related industry, a plus.
- Lifting to 40lbs.
- Driver’s License.
COMPUTER SKILLS:
- Required knowledge of MS OFFICE – Excel / Word / PowerPoint / Outlook.
